Professional bodies & institutes
Grades of membership, CPD or CPE point tracking, certification records.
One system for members, subscriptions, renewals and events.
Renewals in a spreadsheet, payments in a bank statement, member details in someone's inbox. A membership portal puts the three in one place and lets members do their own admin.
None of this is dramatic on its own. Together it is a part-time job nobody was hired to do, and it gets worse every year the member list grows.
The pattern is the same whether your members are engineers, exporters or golfers: categories, a renewal date, a payment, and a committee that wants numbers before every meeting.
Grades of membership, CPD or CPE point tracking, certification records.
Corporate memberships with several named representatives under one company account.
Societies registered with the Registry of Societies that need a clean roll for the AGM.
Large lists, low fees, high churn — where self-service matters more than anything else.
Subscriptions, dependants, facility bookings and member-rate pricing.
Applications that go through a review panel before a certificate is issued.
A portal is worth building when you have a few hundred members or more, more than one membership category, an annual or multi-year renewal cycle, and events priced differently for members.
If you have under a hundred members on a single flat fee and no events, a shared spreadsheet and a payment link will do the job. We will tell you that rather than quote for a portal.
Six steps. Once it is running, steps three to six repeat every cycle without anyone chasing them.
Applicant fills the form online, picks a category and uploads supporting documents.
Secretariat or committee approves, rejects with a reason, or asks for more documents.
Joining fee and subscription paid by FPX or card. Receipt issued automatically.
Member number issued, portal access opens, member rates apply.
Renewal notices go out on your schedule — 60, 30 and 7 days before expiry.
Paid members roll forward. Unpaid members move to a grace period, then lapse.
Lapsed members keep their history, so a member who returns after two years is reinstated rather than created again as a new record.
Most associations start with the first four and add the rest once one renewal cycle has run cleanly. Your membership rules are built as they actually are, including the exceptions.
Categories and grades, corporate accounts with named representatives, full status history, duplicate detection.
Online form with document upload, review queue, approve or reject with reason, timestamped declarations.
FPX and card via a Malaysian gateway, bank transfer with proof upload, numbered receipts with SST and e-invoice fields.
Renewal windows and grace periods, staged reminders, 1/3/5-year and life terms, opt-in auto-renewal.
Profile updates, digital membership card, downloadable receipts, payment and event history.
Member and non-member pricing, seat limits and waiting lists, attendance, CPD points posted to the record.
Email by category, state or expiry month, notices posted to the portal, per-member send log.
Paid, lapsed and pending at any date, revenue by category and month, AGM eligibility list, auditor-ready exports.
Separate access for secretariat, finance and committee, change log with who and when, no shared admin login.
From the portal we built for the Institute of Corporate Directors Malaysia, whose members are directors of listed companies. The full story is in the ICDM case study.
Six stages. The one that decides whether the project runs on time is the second, and it has nothing to do with software.
Two sessions with the secretariat and one committee member, writing down every membership rule as it is applied today.
Output: module list and written rulesWe check your member file before anything is built: missing expiry dates, duplicates, members with no category, fees that do not match the schedule.
Output: clean-up list with countsScreen-by-screen design of the portal and admin side, reviewed with the people who will use it daily.
Output: signed-off screens, build scheduleRecords, applications, payments and renewals first, so you can run a real renewal cycle before events and reporting are finished.
Output: test system, updated fortnightlyCleaned data goes into the test system and the secretariat runs real scenarios: application, renewal, lapse, reinstatement, event pricing.
Output: migration report, signed UATGo live, then training for the secretariat and a written SOP for the monthly tasks. Support continues while the first renewal batch runs.
Output: live portal, SOP, support windowFor a typical association with a few thousand members and the modules above. Records, payments and renewals only is closer to ten weeks.
When these projects run late it is almost always the member data, not the build. Associations that start cleaning their list during the scoping workshop tend to launch on schedule.
The CMS made it simple as it's very user friendly. The system is easy to navigate and to update/edit the site content. We are glad that we decided to work with UNO. It's great how UNO can deliver the job within a tight deadline and we are also satisfied with the site and services provided by UNO.
